A reliable payroll service depends on complete employee records, clear cut-off dates, approved changes and a defined handover to accounting and payment processes.

Prepare the payroll setup

Confirm the employing entity, employee list, pay terms, recurring allowances, deductions, payment schedule and the historic records needed to begin.

  • Employee and employment information
  • Salary, allowance and deduction rules
  • Pay frequency and payment date
  • Opening balances and previous payroll records

Establish the monthly cut-off

Create one deadline for new joiners, leavers, leave, bonuses, expenses and other approved changes. Late information should follow a documented correction or next-cycle process.

  • Input deadline
  • Customer review and approval date
  • Payslip and payment-file timing
  • Late-change and correction rules

Clarify responsibilities

The service should state who provides employee information, who checks the calculation, who approves the payroll and who releases payment. Payroll support should not make payments without documented authority.

  • Customer supplies accurate employee changes
  • Provider prepares the agreed calculation
  • Named customer approver confirms payroll
  • Authorised party releases payment

Confirm outputs and separate work

Typical outputs may include payroll summaries, payslips and accounting files. Employer filings, pension or statutory administration, historic corrections and complex cases must be expressly included or quoted separately.

  • Payroll summary and payslips
  • Payment or bank-upload file where included
  • Accounting journal or report
  • Separate statutory, correction or advisory work
